AI that earns its keep in your small business.

Most small businesses do not need an AI strategy. They need two or three specific things to stop eating their week. We find those things, build them into the tools you already use, and stick around to keep them working.

What we do

Six ways we usually help

Every engagement starts with the audit. Where it goes from there depends on what we find — these are the patterns we see most often in small businesses.

  • AI readiness audit

We sit down with your team, map how work actually gets done, and identify the handful of places where AI saves real hours. You get a prioritized plan, not a sales pitch.

  • Customer support automation

An assistant trained on your own documents, pricing, and policies that answers routine questions, drafts replies, and routes anything it should not handle to a human.

  • Document and data workflows

Invoices, intake forms, receipts, and contracts turned into clean structured data in the systems you already use — no more retyping paperwork.

  • Internal knowledge assistant

A private search assistant over your SOPs, past projects, and institutional knowledge so new hires stop interrupting your most experienced people.

  • Connecting your existing tools

We wire AI into the software you already pay for — QuickBooks, HubSpot, Google Workspace, Microsoft 365, your scheduler, your CRM — instead of asking you to switch.

  • Team training and guardrails

Hands-on training so your staff uses these tools confidently, plus a written policy covering what goes in, what stays out, and who owns the output.

What it looks like

The shape of a first project

These are representative of the work we scope, not case studies with a client's name attached. Yours will look different in the details and similar in the structure.

  • Trades and field service

    The inbox that files itself

    Before
Every supplier invoice arrived as a PDF attachment and got retyped into QuickBooks by hand, usually late at night.
    What we build
Invoices are read on arrival, matched against open purchase orders, and staged in QuickBooks. Anything ambiguous is held for a human instead of guessed at.

Bookkeeping stops being an evening job.

  • Professional services

    The five questions, answered

    Before
A small team was answering the same handful of client questions dozens of times a week, pulling people off billable work.
    What we build
An assistant grounded in the firm's own policies and pricing drafts the reply and cites the document it came from. A person still presses send.

Routine replies go out in minutes, not days.

  • Retail and e-commerce

    Institutional memory, searchable

    Before
Everything about how the business ran lived in one long-tenured employee's head and a decade of scattered files.
    What we build
A private assistant over the company's SOPs, past orders, and vendor history, so a new hire can find the answer without interrupting anyone.

Onboarding stops depending on one person's availability.

How it works

Four steps, no mystery

You will always know what happens next, what it costs, and what we need from you.

  1. 01

    Audit

A working session to understand your business, your tools, and where time disappears. We leave with a shortlist of opportunities ranked by payoff and effort.

  2. 02

    Build

We scope one clear win, agree on a fixed price, and build it into your existing workflow. You see progress as we go, not at the end.

  3. 03

    Train

We train the people who will use it every day, document how it works, and set the guardrails so nothing surprising happens later.

  4. 04

    Maintain

Models change, vendors change, your business changes. We keep it running, tuned, and current so it does not quietly rot.

Pricing

Straightforward numbers

No retainers you cannot cancel and no hourly meter running in the background. You get a flat quote for the build and a clear rate to keep it healthy.

Start here

Initial integration

$500 – $5,000

Priced by scope, quoted flat before we start. A single focused automation lands near the bottom of that range; a multi-system integration with training lands near the top.

  • Fixed price agreed up front — no hourly surprises
  • Discovery and audit included in the quote
  • Built into the tools you already use
  • Team training and written documentation

Ongoing maintenance

20%of integration cost, per month

Twenty percent of your integration cost per month. A $1,000 integration is $200 a month to keep monitored, updated, and tuned as models, vendors, and your business change.

  • Billed monthly
  • Monitoring and fixes when something breaks
  • Updates as underlying AI models improve
  • Adjustments as your processes change

Questions

The things people actually ask

If yours is not here, ask it in the form below and you will get a real answer, not a brochure.

Where do we even start? I don't know what AI could do for us.

That is the normal starting point, and it is exactly what the audit is for. You do not need to arrive with a plan or a wish list. We look at how your work actually flows today and point out where AI would genuinely help — and, just as importantly, where it would not.

Is my business data safe?

We design every integration around keeping your data yours. That means using vendors and settings that do not train on your content, sending the minimum information needed to do the job, and writing down clearly what leaves your systems and what never does. You get that in plain language before anything goes live.

Am I going to have to replace my staff?

No, and that is not the goal. Every project we take on aims at the repetitive work your team already dislikes — retyping invoices, answering the same five questions, digging for a file. The people stay; the busywork goes.

Do I have to switch software?

Almost never. We build around the tools you already pay for and know how to use. If we ever do recommend a change, it will be because the current tool genuinely cannot do the job, and we will show you the math.

How long does an integration take?

Most first projects run two to six weeks from audit to live, depending on scope and how quickly we can get access to your systems. Smaller single-workflow automations often finish faster.

What exactly does the 20% monthly maintenance cover?

It is twenty percent of your integration cost every month — $200 a month on a $1,000 build — and it covers keeping that work running: monitoring, fixing breakages, updating as AI models and vendor APIs change, tuning as your processes shift, and answering your questions as they come up. It does not cover brand-new integrations, which get scoped and quoted separately.
